Applying a template creates a Task Collection: real tasks, with real due dates and assignees, attached to one record.
From the Collections tab
- Open Tasks → Collections and click New Task Collection.
- Choose the Record Type and the record: a job, organization, subject group, subject, or equipment item.
- Select one or more Collection Templates of a matching type.
- If the template uses a Custom Event Date, enter it.
- Save. Tasks are created immediately with due dates calculated from the job date or event date.
From a job
When creating or editing a job, Add Tasks From Collection lists the Job templates for the job's team. Selecting them applies the collections as soon as the job is saved, using the job's start date. This is how most collections are created.
From an organization
The organization form's Add Tasks From Collection applies Organization templates when the account is created, for onboarding checklists.
What gets created
- One task per template task, with status, priority, assignees, groups, notes, sub tasks, and file permissions copied.
- Due dates from each task's offset and the anchor date.
- The template's state transitions and notification rules, copied onto the collection and its tasks.
- A dependency graph linking the tasks.
The collection view
Open a collection from the Collections tab or from the record's Tasks tab. It has:
- View: switches how the collection's tasks are shown. Stage Workflow is the dependency graph: drag tasks to arrange them, connect them to record what depends on what, click a task to open it. Status Workflow is a kanban board with one column per task status; drag a card into another column to change its status. List is the same table and actions as the main Tasks list.
- Associated Records: a collapsible summary of every record the collection's tasks touch: organizations, jobs, subjects, subject groups, equipment items, assignees, and teams. Click one to open it.
