Airstudio keeps files where the work is. Every organization, subject group, subject, job, session, employee, task, equipment item and bag, timesheet, and expense has its own Files tab, so a contract sits on the organization, a shot list on the job, and a receipt on the expense. The same tabs double as a portal: contacts see what you share with them, and people without an account can send or collect files through a link.
Organizations, Subject Groups, Subjects, Jobs, Sessions, Employees, Tasks, Equipment Items, Equipment Bags, Timesheets, Timesheet Expenses, and Chat Channels. Folders are created automatically when the record is created and follow it afterwards: rename a job and its folder is renamed; move a timesheet to another employee and the folder moves with it.
| Tier | Who can open it | Typical use |
|---|---|---|
| Private | Your studio team, according to their permission level | Everything by default: exports, working files, internal notes |
| Shared | Organization contacts with portal access, and for subjects and sessions the subject or parent themselves | Proofs, signed contracts, rosters going back to the school |
| Staff Shared | Employees in the General Staff group, who cannot open anything else | Maps, shot lists, and reference images field staff need on the day |
Shared and Staff Shared are fixed folders that come with the record and cannot be renamed or deleted. Any folder you create yourself is private unless it sits inside one of them.

Dropping a file into a Shared folder publishes it to the contact portal immediately. There is no review or publish step.
