When the school, league, or company pays for photography rather than each family, Airstudio books the sessions without charging anyone and lets you invoice the organization for them afterwards, itemized by session.

Setting up an organization-paid program

  1. On the organization, set the Stripe Customer Email on the Billing tab and mark at least one contact Receive Invoice Emails. Turn on Tax Exempt if the organization is exempt; new invoices will then default to no sales tax.
  2. On the subject group, turn Subjects Paying off. Sessions booked in that group are billed to the organization and the booking page collects no payment.
  3. Book or auto-schedule sessions as usual.

Any individual session can be switched with the Bill Subject / Bill Organization control when staff book or edit it, so a group can be mostly organization-paid with a few family-paid exceptions, or the reverse.

Creating the invoice

  1. Open Sessions, filter to the job, subject group, or date range you want to bill, and select the sessions.
  2. Click New Invoice. The invoice form opens with one line per session at its package price, add-ons as their own lines, and any products you add.
  3. Set Days Until Due, confirm Charge Sales Tax and the Tax Location, choose the Team, add a footer, and Send Invoice.

The same form is available from the organization's Billing tab, where you can also build an invoice from products alone. Sessions can be invoiced only to an organization; an invoice to an individual subject is built from products.

Invoices with ten or more lines are created in the background and appear in the Invoices tab a moment later.

Auto-scheduled sessions

When Airstudio auto-schedules sessions for a subject group, the sessions are created without charging anyone and the Auto Scheduled Subject Group Session notification goes to the subject. For organization-paid groups, those sessions are then invoiced to the organization as above.

How the customer pays

The invoice email carries a link to a hosted Stripe page where the contact pays by card or, for US studios whose Stripe account has bank payments enabled, by bank transfer (ACH). ACH payments show as Processing Payment for a few business days before they clear. The contact receives Sent, Reminder, Past Due, Paid, Payment Failed, and Void notifications; the organization's account manager receives copies.

Tax on organization invoices

Tax is calculated for the Tax Location, which defaults to the job's location for session invoices, because that is where the service was delivered. A Tax Exempt organization defaults to no tax; you can override either way on each invoice. See Sales Tax.

Invoices attached to a signature request

An invoice can be attached to an E-Sign request so the contract and the bill travel together. The invoice is sent to the request's first signer, and its notifications go to that signer rather than the organization's invoice contacts.
