Staff can book a session for a subject when the family cannot: no internet access, a phone call to the studio, a make-up after the booking window has closed, or a student added to the roster on picture day.

Which method to use

Situation Method
The group's booking window is open Open the subject, go to Sessions, and click Book Group Session. You walk through the same package, date, and time steps the family would.
You are already looking at the job and want to slot someone into it Edit the job and add the subject to a session directly. See the video below: Add to a Job from the Job.
The group's final photo deadline has passed The group's booking link no longer offers times. Use Book Other Session with the group's package category added to the job, then link the session back to the group. See the video below: Book After the Deadline.

Fees, payment, and waivers

A booking made by staff follows the same rules as one made by the family. If the package has a price and the group bills subjects, a payment method is needed: use one saved on the subject's Billing tab or add a new one during booking. If the group's policies require a card on file for no-show or reschedule fees, you can either add a card or check the boxes to waive those fees for this session.

Permissions

Editing a job to add a session requires the Scheduling Manager or Administrator role. Booking from the subject's Sessions tab is available to all scheduling roles.

After booking from a job or via Book Other Session, confirm the session is linked to the subject's organization and Subject Group. An unlinked session will not count toward the group's booking report or the Photography Audit.
