Creating a task

Most tasks come from applying a template, but any task can be created directly.

  1. Open Tasks and click New Task, or open the Tasks tab on a job, organization, subject group, subject, or equipment item and click New Task there. Creating from a record pre-fills For.
  2. Enter the Name and choose a Status and Priority.
  3. Set the Due Date. For a job task, the Event Date defaults to the job date.
  4. Assign Employees or an Employee Group. Add Contacts if a school-side person should be notified.
  5. Add Notes, Sub Tasks, Tags, and files as needed.
  6. Save.

Working a task

Assignees find their work under Tasks with the My Tasks filter, on the Dashboard, and on the calendar. Open a task, do the work, add a comment if useful, and click Complete. Completion sets the status, records who and when, and fires any completion rules or transitions.

Changing status without completing

Choose a different status in the panel, or select tasks in the list and use Set Status, Set To Do, Complete, or Cancel from Actions.

Reassigning

Open the task and change Assigned To, or select tasks and use Reassign Employee or Reassign Group from Actions. Removing a group unassigns its members unless another assigned group includes them.

Moving due dates

Edit the task, drag it to a new day on the calendar, or select tasks and use Change Due Date.

Archiving and deleting

Archive hides finished or abandoned tasks from lists while keeping their history; archived tasks can be unarchived. Delete removes a task permanently and is meant for mistakes, not for finished work.

Copying

Copy on a task duplicates it with its notes, assignees, and settings for a fresh due date.
