A contact reaches the portal with the same login page your staff and families use. What they see afterwards depends on how their contact record is set up and how many organizations they belong to.
On the organization's Contacts tab, open the contact and set:
| Setting | Effect |
|---|---|
| Contact Login Access | Allows this contact to sign in. Off, they still receive notifications but cannot open the portal. |
| Receive Welcome Email | Sends the Account Created email with a link to set a password. Untick it to create the contact quietly and invite them later. |
| Password | Optional. Leave blank and the contact sets their own from the welcome email or the login page. |
| Receive Email, Receive SMS | The contact's notification preferences. |
| Receive Invoice Emails | Marks the contact as an invoice recipient for the organization. |
| Job Title | Shown on the Contacts tab and in the portal header. |
Contacts can also be imported with the organization import, using a Login Access column.
A principal whose child attends the school has two roles on one login. After signing in they are asked to choose Personal Account or Client Contact Account. The sidebar has a Client Contact switch to move between the two without signing out.
A district administrator attached to five schools does not land in a portal. They land on a list of their organizations and choose one; the portal header then shows that school, and the same list is a click away to switch.
If the contact's organizations span more than one of your teams, a team switcher appears so they can narrow the portal to one team at a time.
Profile in the sidebar opens the contact's own record: their details and password, their payment methods, and any invoices or files addressed to them personally. It is separate from the organization's Billing and Files tabs.
Turn off Contact Login Access to keep the contact on file without a login, or delete the contact to remove them from the organization entirely. Deleting a contact who is also a subject leaves the subject record in place.
