Locations | Notion

Locations are every address Airstudio uses: your studio, each school and venue you photograph at, and the homes of subjects who book at their own address. They are created here, when a job or organization is set up, or automatically when a subject enters an address at booking.

Fields

Studio Location	Marks your own premises so they sort first when scheduling
Default Map Location	Where the schedule map centres
Billing Location, Shipping Location	Flags for an organization's billing and shipping addresses. One of each per organization.
Organization, Subject	Links the location to the record it belongs to

Why locations matter

Tax. The location on a job decides the sales tax jurisdiction for every session on it and for invoices built from those sessions. Tax is charged where the photography happens, not where the family lives. A location with a missing state or zip code cannot be taxed correctly.
Distance. When assigning staff, the distance from each employee's home address to the job location is shown beside their name.
Mileage. Timesheet travel expenses are calculated between clock-in and clock-out locations.
Notifications. Job and session emails carry the location's name and full address.

Maintenance

Search, edit, and delete locations from this tab. A location that is still used by a job cannot be deleted; reassign the job first. Duplicate venues with slightly different spellings are the usual clean-up task before a new season.
