Organizations in the left navigation shows every account with its stage, category, account manager, number of Subject Groups and subjects, and team. Use the search box for a name or unique identifier, and the filters for Stage, Category, Account Manager, Team, and Custom Fields.
The page has three tabs:
Select one or more organizations and open Actions:
| Action | Effect |
|---|---|
| Download | Exports the selected organizations with their contacts and custom fields to a spreadsheet. Can be limited by team. |
| Sync Notifications | Copies notification templates from a source organization to the selected ones. |
| Update Custom Fields | Sets custom field values on all selected organizations at once. |
| Delete | Archives the selected organizations. See below. |
Opening an organization shows its Details with Edit and Delete buttons, and tabs for Schedule, Subject Groups, Subjects, Sessions, Contacts, Locations, Custom Fields, Billing, Tasks, Expenses, Teams, Notifications, Files, Forms, Notes, and History. History records every change to the organization and who made it.
Click Delete on the organization, or select organizations on the list and choose Actions → Delete. Because an organization owns Subject Groups, which own subjects and sessions, the dialog asks how far the deletion should reach:
| Option | What is archived |
|---|---|
| Organization and Subject Groups | The organization and its groups. Subjects remain as individual records. |
| … and Subjects | Also archives the organization's subjects. Their logins are deactivated. |
| … and Sessions | Also removes their sessions from the schedule. |
Deletion runs in the background and the organization shows a progress indicator until it completes. An organization whose GotPhoto counterpart still exists cannot be deleted until the GotPhoto organization is removed.
<aside> ⚠️
Deleting is for duplicates and bad imports. When a client leaves, change their Stage to a Former Client stage instead. Their history, invoices, and files stay available and they can be reactivated later.
