The Photography Audit reconciles a Subject Group against the Photographed and Not Photographed reports exported from your gallery or e-commerce platform. It confirms where Airstudio and the gallery agree, isolates every discrepancy, and produces a workbook you can act on directly: outreach lists for students who still need to be photographed, and review lists for records that require attention before final delivery.

The audit works with any gallery that can export a Photographed list and a Not Photographed list as CSV, including Captura, Blueprint, and similar platforms. Column names do not need to match Airstudio's; you map them during setup.

When to Use It
- Before a yearbook or composite deadline, to confirm every student who was photographed in Airstudio has images in the gallery.
- After retake or makeup days, to verify that resits and additional sessions tied out correctly.
- To build a clean, current contact list of students who have not yet been photographed for email or postcard outreach.
- Whenever the gallery and Airstudio appear to disagree about who has been photographed.
Before You Begin
- Export the Photographed list from your gallery as a CSV.
- Export the Not Photographed list from your gallery as a CSV.
- Confirm each file includes a Student ID column and a column indicating Images. Email and name columns improve matching and are recommended.

Each report may contain up to 10,000 rows and must be smaller than 20 MB. The Photography Audit is available to Administrators, Regional Administrators, Scheduling Managers, Scheduling Analysts, and Airstudio Support.

Running an Audit
- Open the Subject Group and go to the Subjects table.
- Click Photography Audit.
- Upload the Photographed report and the Not Photographed report. The row count for each file is displayed once it has been read.
- Under Column mapping, select the column in your reports that corresponds to each Airstudio field:
- Images column (required) identifies whether the gallery holds images for the row. Any non-empty value other than zero counts as photographed.
- Tier 1 · Student ID is the primary match key and should be used whenever your reports include it.
- Tier 2 · Email and Tier 3 · First name / Last name are used when a row cannot be matched by Student ID.
- If the two reports use different column names, enable Map columns separately for each report and map each file individually.
- Choose where to Save a copy: the Subject Group Staff Shared folder, the Subject Group Folder, or the Subject Group Shared folder visible to organization contacts.
- Click Run Audit. Larger groups take a few moments; the workbook downloads automatically when it is ready and a copy is placed in the folder you selected.
