A Recurring Timesheet Schedule creates timesheets ahead of time for staff who work regular hours without being assigned to jobs: office, production, sales, remote. The employee sees a timesheet waiting each scheduled day and is prompted to clock in and out.

How it works

  1. Define a schedule: name, teams, start date, start and end time, how it repeats, when it ends, and a color.
  2. Assign employees to it with a role. One timesheet is created per employee per scheduled day.
  3. Schedules that never end are extended automatically so about a year of timesheets always exists.

Repeat options are daily, weekly on chosen days, monthly, or yearly, with an interval such as every 2 weeks, ending never, on a date, or after a number of occurrences.

Pay

Timesheets from a schedule pay at the employee's rate for the chosen role, following the usual pay-rate order. Set role rates before assigning employees. Per-timesheet Pay Override still applies when needed.

Changing or ending a schedule

Editing a schedule affects future timesheets. Deleting a schedule offers to delete the employee's remaining timesheets from it. Deleting a single timesheet offers the same for that employee's other timesheets on the schedule.

Schedules and Work Schedules

A Recurring Timesheet Schedule creates paid timesheets. A Work Schedule records availability and time off and pays nothing. Office staff typically have both: a timesheet schedule for their standard week and work schedule events for vacation. See Work Schedules & Time Off.

Step by step

For employees who work in the office, remotely, or in production roles, follow these instructions to set up their work schedule and clock-in process.

Create a Recurring Timesheet

  1. Click Timesheets > Recurring Schedules.
  2. Select the Timesheet tab within Recurring Schedules.
  3. Click + New Timesheet Recurrence.
  4. Enter a name for the new timesheet (for example, Sales Staff or Production Staff Schedule).
