Resource Allocation lets your studio define how much of each resource can be scheduled per team, per day — setups, employee roles, equipment bags, and equipment items — and see at a glance where a day is approaching or exceeding capacity. Indicators appear across the Schedule, on the job form, and in email and text notifications. Allocation is informational: it highlights capacity issues but never prevents scheduling.

📋 Overview

Resource Allocation tracks four categories. Each category is enabled independently, and capacity is defined per team, per day. Usage is calculated from the jobs on the schedule, so the numbers always reflect the current state of your calendar.

Category What it measures Where tracking is enabled per resource
Setups The total Setups across all jobs scheduled that day Not applicable — a single daily allowance per team
Employee Roles The number of shifts scheduled per role, whether or not an employee has been assigned yet Each Employee Role
Equipment Bags The number of bags of each bag type included on jobs Each Equipment Bag Type

Tracking applies at the type level. Individual bags, items, and employees are not tracked separately.

🚀 Getting started

1️⃣ Enable the categories you want to track

Go to Settings → Studio Details → Edit and locate the Resource Allocation section. Turn on any combination of Setups, Employee Roles, Equipment Bags, and Equipment Items. These switches apply to the entire studio and require Administrator access.

2️⃣ Mark resources as trackable

For roles and equipment, indicate which specific types should count toward allocation by turning on the Trackable Resource switch:

While a category is enabled, its list view includes a Trackable Resource column so you can review what is tracked. Resources that are already marked trackable remain editable even if the category is later disabled, so tracking can always be removed.
