No Show Policy

Set a fee for when a subject fails to attend their scheduled appointment. These default settings can be customized for specific organizations or subject groups.

Toggle Options

Apply for Paid Sessions - turn on if you want to charge the No Show Fee for paid sessions

Apply for Free Sessions - turn on if you want to charge the No Show Fee for free sessions

Reschedule Cancellation Policy

Options for charging fees on rescheduled, cancelled, or missed appointments.

Refund all rescheduled or cancelled sessions

Choose this option if you do not want to charge a Reschedule or Cancellation Fee.

Refund depends on timing of reschedule or cancellation

Choose this option to set a time limit before the session during which subjects can reschedule without being charged a Reschedule or Cancellation Fee.

Cancellation Fee is Session Package - turn on if you want the fee to be the same cost as the session package

Never refund rescheduled or cancelled session

Choose this option to charge a fee for all rescheduled or cancelled appointments.

Resit Policy

Charge Resit Fee for Free Sessions

Turn on if you offer free sessions and you want customers to pay an additional fee on top of the paid session fee for booking a resit

Charge Resit Fee for Paid Sessions

Turn on if you offer paid sessions and you want customers to pay an additional fee on top of the paid session fee for booking a resit

Free Package Resits Available

Turn on if you offer free sessions and you want customers to pay a fee to book a resit for that same session package.

Amount owed if you have turned on the Resit Fee options above

Free Package Resit Cost

Fee for scheduling a resit on a no-charge session.

Disabling All Scheduling Policies

To disable payment collection and bypass all scheduling policies in an organization or subject group, follow these steps:

  1. Open an Organization or Subject group and click ‘Edit’
  2. Scroll down until you see the scheduling policies and adjust your settings to the following:
    1. Using No Show Policy: Change the No Show Fee to ‘0’
    2. Using Reschedule Cancellation Policy: Select ‘Refund all rescheduled or canceled sessions’
    3. Using Resit Policy: Make sure none of the boxes are checked and put ‘0’ for the Resit Fee
