A Task Collection Template is a reusable set of tasks. Build it once; apply it to every job, school, group, subject, or equipment item that needs the same work. This page covers the mechanics. For how experienced studios design templates, see Designing Good Templates.
Open Tasks → Collection Templates and click New Task Collection Template.
| Setting | What it does |
|---|---|
| Name | How the template appears when someone applies it. |
| Type | Job, Organization, Subject Group, Subject, Equipment Item, or Miscellaneous. Decides which record the template can be applied to and, for Job, that due dates count from the job date. |
| Teams | The regions that may use the template, or all. See the child page below. |
| Custom Event Date | When on, the person applying the template picks the anchor date and every due date is calculated from it. When off, the job date is used. |
Tasks live in Stages, rows in the template grid such as Before the Job, Job Day, After Posting. Click New Stage to add a row and Add Task to add a task to it. Drag tasks to reorder or move between stages. See Stages.
Each template task has:
| Field | What it does |

| Name, Notes | Copied to every task created from the template. |
| Due | An offset: N days before or after the job date or custom event date. A task with no offset gets no due date and must be dated after applying. |
| Assigned To, Employee Group | Who gets the task. Groups are preferred; see ‣. |
| Status, Priority | Starting values. Leave status blank to use the initial status. |
| Sub Tasks | Nested tasks created with the parent. |
| Notifications | Toggles for update and overdue notifications, and the task's notification triggers. |
| Files | Contact file permissions for the created task. |
Below the tasks, the template has two automation tabs that apply to every collection created from it:
Copy duplicates a template with all tasks, transitions, and rules, for a variant such as Senior Portrait Day (Outdoor). Download exports the template as a spreadsheet. Delete removes the template; collections already created from it are unaffected.

Editing a template changes future collections only. Collections already applied to jobs keep the tasks they were created with; edit those on the collection itself.
