Subject Group data can be exported at three levels: one group's roster, many groups at once, and a reconciliation against your gallery.
Open the group, go to the Subjects tab, and click Download.
| Format | Contents | Use it for |
|---|---|---|
| Excel | Every subject with ID, name, contacts, address, team, custom fields, and booking status (Not Booked, Booked, Photographed, No Showed) with session date and package. | Reminder lists, mail merges, sharing progress with the school. |
| Session Sheet PDF | Subjects in session order with time, package, and any custom fields marked Display as Subject Data. | The printed log photographers take into the shoot. |
Large exports are prepared in the background and emailed to you when ready.
On the Subject Groups list, select the groups and choose Actions → Download. One file is produced with a row per subject across all selected groups. When your studio uses teams, the export can be limited to selected teams.
The Photography Audit compares the roster with your gallery's Photographed and Not Photographed exports and produces a workbook of confirmed matches and discrepancies. See Photography Audit.
School administrators with portal access can export their own group's roster and booking status from the organization portal, without contacting the studio.

Exports reflect live data at the moment they are generated. Re-export rather than editing an older file when the roster has changed.

Subject Group Exports include all the subjects tagged by their status (Photographed / Scheduled / No-Show, etc.)

The Export looks like this:

This can also be created by School Admins themselves through their portal / subject group / export.
