Subjects in the left navigation lists every subject in the studio. Use it when you know the person but not their group, and for changes that span groups.

Searching

The search box matches name, email, phone number, or ID number, so a parent reading a phone number to you is enough to find the record. Filters narrow the list by Subject Group, Organization, Team, and Custom Fields.

Columns show name, email, phone, ID number, subject groups, organization, and team. Click a row to open the subject.

The toolbar

Bulk actions

Select subjects with the checkboxes and open Actions:

Action Effect
Send Notification Sends a chosen notification template to the selected subjects and their contacts.
Reassign Team Moves the selected subjects to another team. Subjects whose booked sessions belong to a job on a different team are skipped and listed in the result.
Update Custom Fields Sets custom field values on all selected subjects at once.
Delete Archives the selected subjects. See .

Editing a subject

Open the subject and click Edit on the Profile tab. Changes to name, ID, and contact details take effect immediately in every group the subject belongs to and in future notifications. Changing the email changes their login.

Moving a subject between groups

On the Profile, edit Subject Groups to add or remove memberships. Removing a group does not delete the subject or their sessions in other groups. Adding a group makes them bookable for that group's packages.

Subjects vs. the Subject Group roster

The Subject Group's own Subjects tab shows the same people for one program, with booking status and group-specific tools such as Deduplicate and the Photography Audit. Use the group roster during a season; use the global Subjects list for cross-group lookups and cleanup. See Managing Subjects in the Subject Groups guide.
