New Job opens the job form; clicking a job and choosing edit opens the same form filled in. This page walks the form top to bottom. The ? at the top of the form opens Airstudio's own Job Form Overview, which is the same material in brief.
| Field | What it does |
|---|---|
| Name | Internal name shown on the schedule, in notifications, and on reports. |
| Bookable | Lets subjects book their own sessions on this job through a subject group or package category. Off for candid events, meetings, and travel. |
| Notifications | Master switch for every notification tied to this job. Off means nothing is sent about it, to staff, subjects, or contacts. |
| Location | Search saved locations or create one on the spot. Drives the map, distance to staff, and mileage. |
| Date, Start Time, End Time | The job window. Sessions and staff shifts must fall inside it. |
| Team | Which team owns the job, when the studio has more than one. Changing it later moves the job and everything on it; sessions and staff not on the new team are cancelled or unassigned, and you see the list before saving. |
| Setups and Max Setups | How many sessions can run at once. Booking availability is calculated from Setups; Max Setups records the ceiling you could reach if you added staff. 0 setups keeps the job on the schedule with no bookable slots. |
| Job Type | Colour and category. Also carries default shift buffers and a task collection. |
| Stage | Your own pipeline label for the job, managed under Stages. |
| Internal Notes and Subject Notes | Internal notes are for staff and appear in the mobile app. Subject Notes are shown to subjects viewing their session and to organization contacts. |
Appears when Bookable is on.
Add a session directly when you are scheduling on someone's behalf: pick the Subject or Organization, the Session Package, and the Start Time. The end time is the start plus the package's duration. Sessions must fall inside the job window, cannot overlap a buffer, and cannot exceed the number of setups at any moment; the form tells you if one does. A package marked custom price and duration is entered with an explicit price and end time.
One row per shift. Choose the Employee or leave it Unassigned to fill later, the Role, and the Start and End of their shift, which default from the job times plus the job type's buffers. Send Job Assignment Notification emails or texts the person when you save. Confirmation Status shows Pending, Confirmed, or Denied. A red warning beside a name means a conflict with another job or a work schedule event. The copy icon duplicates a shift; employees show their distance from the job when both have addresses. Pay rate fields appear for permission levels that may see pay.
Add Required Bag Type and Add Required Item Type state what the job needs. Specific bags and items are assigned to staff from the Equipment tab of the job, and the schedule's Equipment column turns from Missing to Included when everything required is covered.
Time windows subjects cannot book across, for lunch, setup changes, or a school assembly. Several buffers can be added.
For jobs where you place subjects yourself, define the windows Airstudio may schedule into and whether each is Reserved for the auto-scheduled group only. See Auto Scheduling.
