Contacts are the people at an organization: the principal, the yearbook advisor, the athletic director, the corporate HR coordinator. They receive your notifications, can be given access to the contact portal, and are the recipients of invoices and E-Sign requests.
Open the organization, go to the Contacts tab, and click New Contact. Contacts can also be added while creating the organization, or in bulk through Importing Organizations.
| Field | Notes |
|---|---|
| Name, Job Title, Email, Phone | Email must be unique. An address already used by an employee or a subject cannot be a contact. |
| Secondary Email / Phone | Optional alternates. |
| Organizations | A contact can belong to more than one organization, such as a district coordinator who covers several schools. |
| Teams | The teams the contact is associated with, with one default. |
| Login Access | Lets the contact sign in to the contact portal. Set a password or leave it blank for them to choose one. See ‣. |
| Receive Email / Receive SMS | Channels this contact accepts. Off means nothing is sent on that channel. |
| Receive Invoice Emails | Marks the contact as an invoice recipient. They receive invoice notifications and see invoices in the portal. |
| Receive Welcome Email | Sends your Account Created notification when the contact is saved with login access. |
| Notes | Internal notes about the contact. Not visible to the contact. |
Lists this organization's contacts with name, title, email, phone, and portal access. Click a contact to edit any field, including resetting a password. Selecting contacts enables Remove, which detaches them from this organization without deleting the person; they remain on any other organization they belong to.
The Organizations page has its own Contacts tab listing every contact across every organization. From there you can search, filter by team, sort by name or email, Download the list to a spreadsheet, Send Notification to selected contacts, or Delete contacts entirely.
Adding a contact to a job makes them the school-side point of contact for that job. They receive job notifications, appear on the job's detail page for your staff, and can see the job in the portal.

Keep one contact per organization marked to receive invoice emails and give portal access to whoever answers parents' booking questions. Everyone else can stay as a record with notifications off.

All organization Contacts are stored on the Contacts Tab for Organizations:

From here they can be searched, filtered added to and Downloaded for use in an xlsx file. This list can also be sorted by Name, or Email for easier display and search by clicking on the Name or Email header.
