Every setting on the Organization form, in the order the form presents them. Open an organization and click Edit to change any of these. For an introduction, start with Basics.
| Setting | What it does |
|---|---|
| Name | The organization's name as it appears throughout Airstudio, in the contact portal, and in notifications. |
| Unique Identifier | Your own account number or code for this client. Searchable from the Organizations list and included in session sheet exports. |
| Account Manager | The employee responsible for the account. Used to filter the Organizations list and as a notification recipient. |
| Category | School or Commercial. Sets the default sign-in style for the organization's Subject Groups: schools sign in with last name and Student ID, commercial accounts with email and password. Each Subject Group can override it. |
| Stage | Where the organization stands in your pipeline. See ‣. |
| Teams | The teams (regions) that own this account. One is marked Default and is used when nothing more specific applies. |
| Logo | Shown in the contact portal and available in notification templates. See ‣. |
| Notes | Internal notes visible to your staff only. Contacts never see them. |
| Email Domains | The organization's email domains, such as lincolnhigh.edu. A domain can belong to only one organization. |
| Setting | What it does |
|---|---|
| Subject Self-Assigned | The default for new Subject Groups under this organization: whether a subject who cannot be found at sign-in may add themselves and book. Inherited from the studio default; each Subject Group makes the final decision. |
| Show Book Other Session | Whether subjects in this organization see a Book Other Session button, letting them book one of your public session types alongside their group's packages. |
| Setting | What it does |
|---|---|
| Notifications Enabled | Master switch for notifications sent to this organization's contacts. Off means no organization-level notification is sent, regardless of individual triggers. |
| Copy Notifications From | When creating an organization, copies notification templates from an existing organization instead of starting from the studio defaults. |
| Confirmation Emails | Additional addresses, separated by commas or new lines, that receive session confirmations for this organization. Also printed on session sheet exports. |
| Default File Link Contact Notification Recipients | The contacts pre-selected when staff share a file link from this organization's folders. |
| Setting | What it does |
|---|---|
| Stripe Customer Email | The address invoices are sent to. Required before an invoice can be issued to the organization. |
| Customer ID | Your accounting system's identifier for this client. Printed on session sheet exports for reconciliation. |
| Tax Exempt | When on, new invoices for this organization default to not charging sales tax. Each invoice can still be overridden. |
| Picture Day Coordinator | The name of the school's picture day contact, printed on session sheet exports for the photographer. |
No Show, Reschedule/Cancellation, Resit, Reschedule Limit, and Job Booking Ends policies. Each can follow the studio default or be set here; Subject Groups under the organization inherit these unless they override them. See Scheduling Policies.
Nine toggles control what organization contacts can do in the shared folders: See Files, Create Files, and Create Folders, each for the Organization shared folder, Subject Group shared folders, and Task shared folders.
The people at the organization: name, title, email, phone, and whether they have portal login access. Contacts can also be added from the Contacts tab after saving.
The organization's address and any other places you provide service, such as a gym or a second campus. Jobs for the organization are scheduled at one of these locations.
Assigns a background color to a Session Package for this organization. Sessions booked with that package are color-coded in the job's Sessions table, which helps a photographer see at a glance which setup each subject needs.
