A Subject Group is a set of people you are photographing for one purpose: Seniors Class of 2027, 2026 Fall Underclass, May Church Directory. The group holds the roster, the packages those people may book, the dates booking is open, the notifications they receive, and the policies that apply when they reschedule or miss a session.

If you use Captura or GotPhoto, a Subject Group is the Airstudio equivalent of a Job in your e-commerce platform. Include the organization name in the group name so it is easy to find later.

When to create one

Create a Subject Group whenever a defined set of people will book their own appointments, or whenever you need to track a roster against sessions: school portraits, sports and dance programs, church directories, corporate headshot days. Walk-in retail work that has no roster does not need one.

Creating a Subject Group

  1. Open Subject Groups in the left navigation and click New Subject Group.
  2. Enter a Name and select the Organization.
  3. Choose a Category. School groups sign in with last name and Student ID; Commercial groups sign in with email and password.
  4. Set the Booking Start Date and Booking End Date.
  5. Select the Teams that own the group, if your studio uses teams.
  6. Click Save.

Every other setting has a sensible default and can be changed later. For a description of each one, see Settings Reference.

After saving

  1. Attach packages. Add the Session Packages the group may book. Session Packages
  2. Load the roster. Import a CSV, add people individually, or allow self-assignment. Importing & Updating Subjects
  3. Set policies. Confirm the no-show, reschedule, and resit rules, or inherit them from the organization. Scheduling Policies
  4. Review notifications. Enable the booking notifications you want sent. Notifications
  5. Open appointments. Assign the group and its packages to the jobs where it will be photographed. Assigning Subject Groups to Jobs

The Subject Group page

Once saved, the group's page has tabs for its Schedule, Details, Custom Fields, Sessions, Subjects, Billing, Tasks, Teams, Notifications, Files, Forms, and History. Most day-to-day work happens on Subjects. See Managing Subjects.
