Every setting on the Subject Group form, organized the way the form is. Open a Subject Group and click Edit to change any of these. For a guided introduction, start with Basics.

General

Setting What it does
Name How the group appears throughout Airstudio and to organization contacts. Must be unique within the organization. Include the organization and season, for example Lincoln High Seniors 2027.
Organization The school, club, or company the group belongs to. Determines which contacts can see the group, which policies are inherited, and where invoices are sent when the organization is billed.
Category School groups let subjects sign in to book with last name and Student ID. Commercial groups use email and password.
Teams The teams (regions) that own this group. See .
Notes Internal notes for staff. Not visible to subjects or organization contacts.

Dates

Setting What it does
Booking Start Date The first day subjects can book. Before this date the booking page tells them booking has not opened.
Booking End Date The last day sessions can be booked for this group.
Last Date to Pick Pose Informational deadline available as a variable in notifications.
Primary Photo Deadline Informational deadline available as a variable in notifications.
Final Photo Deadline Informational deadline available as a variable in notifications.

The three deadline dates do not change booking behavior. They exist so your reminder emails and texts can say "Your last day to be photographed is October 14" without editing each template.

Booking

Setting What it does
Subject Self-Assigned Lets a subject who cannot be found at sign-in add themselves to the group and book. See .
Show Book Other Session Shows a Book Other Session button on the subject's booking page so they can book one of your public session types, such as a family portrait, in addition to the packages attached to this group.
Booking Fields Rename the standard sign-in fields, turn address and password prompts on or off, add a booking message, and add custom questions. See .
Custom Fields Additional data fields stored on each subject record. Add individually or apply a saved Custom Field Set.

Notifications

Setting What it does
Notifications Enabled When creating a group, turns on the group's notification triggers. Booking notifications stay off until you review and enable them, so nothing is sent unintentionally.
New Subjects Receive Welcome Email Sends your Account Created notification to each new subject and contact as they are added. Turn off when importing data you do not want to announce yet.
Copy Notifications From When creating a group, copies notification templates from an existing Subject Group so you do not start from the defaults.

Billing

Setting What it does
Billing: Bill Subjects / Bill Organization Whether subjects pay for their own sessions at booking or the organization is invoiced. Also controls whether policy fees are charged to subjects.
Coupons Shows or hides the promo code field on the booking page for this group.
Resit Sessions Allows subjects to book another session after a completed one. Fees are governed by the Resit Policy.

Files

Setting What it does
Contact Can See Files Organization contacts can open the group's Shared folder.
Contact Can Create Files Organization contacts can upload into the Shared folder.
Contact Can Create Folders Organization contacts can create folders inside the Shared folder.

No Show, Reschedule/Cancellation, Resit, Reschedule Limit, and Job Booking Ends policies. Each can follow the studio default, the organization, or values set on this group. See Scheduling Policies.
